3 tips to better balance your management team’s workload

Management teams are critical in any business

Responsible for supporting staff while working on their own tasks and responsibilities, management often finds themselves pulled in many directions. And under this strain, miscommunication, misunderstandings, and unbalanced workloads can quickly add up.

Prioritise tasks

Effective team management is all about prioritisation and a clear understanding of who is responsible for what. You need to identify who’s in a certain team and what that team’s responsibilities are. The clearer you are on that information, the easier it is to organise their time and schedule in essential tasks. 

You also want to familiarise yourself with the tasks that anyone can do, as well as those you might only want senior management to complete. By prioritising the ones that are most important or time-sensitive, as well as those who can only be completed by certain members of staff, you can better manage staff time and ensure everything runs smoothly and to schedule.

Set robust permissions

When it comes to team management, workloads should be shared out, avoiding overloading any one member of the team, or expecting management of different levels to fulfil roles above their station. One of the easiest ways to allocate tasks and ensure everything is completed to schedule is to set robust permissions. This will also help reduce the spread of privileged information to lower ranks.

You’ll want to set up permissions based on an individual’s job title and location. As well as going further to distinguish between management levels to add additional control to permissions and access. For example, whether someone is first, middle or top-level management will inevitably influence the information they can see and tasks they can complete.

It’s also worth acknowledging that a member of staff’s clearance level might change over time. Say a HR manager gets a promotion or moves to a different location. You want these changes immediately reflected in their permissions. This way, you boost productivity and efficiency by having them able to access their new team’s files, responsibilities, and data straight away.

Similarly, while it’s not fun to think about, in the case of misconduct, the same robust permission structure will allow you to immediately revoke access and reduce security risks.

Flexible absence cover

Staff absences or holidays are common, no matter the nature of your business. The last thing you want is for these to send a management team’s performance into disarray. A flexible system will allow you to maintain more effective absence cover. You’ll be able to seamlessly switch over access for certain employees or locations as and when it’s required. And you’ll also benefit from peace of mind that permissions will be revoked whenever that cover is complete. 

You also don’t want to waste precious time and resources repeating tasks while having multiple members of staff covering a role. For example, by scheduling audits to be ready to be claimed by anyone who has access and is on duty, you reduce the risk of the same task being repeated three times in a week by each employee offering cover. 

Similarly, if applications for an event or opportunity need to be filled out by an employee’s manager, a flexible system will allow anyone at management level to complete the task. And this avoids having people waiting on one member of management returning to work.
