Using custom built online forms in our Audit module with features such as; unique rating systems, evidence uploads, witness log, detailed reporting, permissions based access, and automatic scheduling. 

We provide you with the ability to run audits in every location at once, assigned to those with the right level of authority to complete them. Hosted within the Virtual PA, role based permissions make access to tasks and reporting a breeze. 

Let’s get technical for a moment.

We work closely with your Health and Safety team to take what you do now, whether it be on paper, spreadsheets or another system, and convert it into our Audit module, applying our industry best practices and expertise to give you streamlined yet detailed Audits, customised to your business. 

Depending on the complexity, regularity of completion, and who is permitted to complete them, some Audits will be created by a schedule and regularly appear on the VPA of your teams to be claimed and completed.

For less regular Audits, such as an Area Manager inspection that needs to be created on site, these can be created when needed instead.

Once open, an Audit is the responsibility of the person who created or claimed it. All closed audits, whether completed or expired without completion are logged against both the location and auditor and visible to those with the correct reporting access. No audits are lost if an auditor leaves the business.

If there are any witnesses to the audit (people who are with you while you complete the audit) you can log their presence inside the audit while it is being completed.

This might be an action required as part of training for a new role so it is something that can be reported too.

Audits are built with questions in one of two formats (the chosen format is used for the full audit) either a Pass / Fail (with a not applicable option) or a rating from 1-5.

Throughout the audit process you will be able to add comments and reasons, formal notes, upload evidence or other files, and assign follow-on tasks to yourself or others – this is communicated to them via tasks on their own Virtual PA.

When completed, the final save logs the score into the archive – after this point it can no longer be edited as it must remain a point in time reflection. If changes are then made to rectify identified errors, a new instance of an audit can be created to log a new and improved score.

When you convert all your checks into tasks, you can see what is being completed on time by qualified people and where areas need to be improved.

Standardise the process

It’s not easy to follow through on processes when everyone is doing their own thing. Assign checklists to specific, qualified people to complete, and then standardise the process so you can track who completes them. Use deadlines to ensure that checks get completed when they should be.
